This Privacy Notice explains how Liberty Church (“we”, “our”, “us”) collects and uses personal data as part of the Great Big Giveaway. We are committed to protecting the privacy of all individuals whose information is processed through this system.

What personal data we collect

We collect only the information needed to coordinate and deliver hampers fairly and effectively. Depending on your agency’s setup, this may include:

For agency contacts:

  • Name
  • Email address
  • Password (encrypted and not visible to us)

For hamper recipients:

  • Eircode
  • Name (only where we deliver directly)
  • Address (only where we deliver directly)
  • Phone number (only where we deliver directly)

Eircodes are publicly available address identifiers and do not, by themselves, constitute personal data.

Why we process this data (Purpose of processing)

We process this information to:

  • Allocate hampers fairly across agencies
  • Avoid duplication by ensuring each address receives only one hamper
  • Coordinate and complete deliveries where Liberty Church is responsible
  • Communicate with agencies about their allocations and deadlines
  • Ensure the smooth and efficient operation of the programme

We do not use this data for any purpose unrelated to the Great Big Giveaway.

Legal basis for processing

Our legal basis under GDPR is:

  • Legitimate interests (Article 6(1)(f)) — operating the Great Big Giveaway, ensuring fairness, preventing duplication, and coordinating deliveries.
  • Publicly available data (Eircodes) — used solely to ensure one hamper per address.
  • Where we collect names, addresses, and phone numbers for delivery, this information is necessary to fulfil the legitimate operational needs of the programme.

How long we keep your data

We retain data only for as long as necessary to operate the giveaway, verify allocations, and manage post-event administration. All personal data is deleted or anonymised after the programme has concluded and administrative tasks are complete.

Who has access to the data?

Access is limited to:

  • Agency contacts managing their allocations
  • The Liberty Church team coordinating allocations and deliveries
  • Approved volunteers involved in deliveries (where applicable)
  • Our IT partners responsible for maintaining the platform

We do not share personal data with any other third parties.

Data security

We take appropriate technical and organisational measures to protect all data, including:

  • Encrypted passwords
  • Secure hosting
  • Restricted access to authorised personnel only

Your data protection rights

Individuals whose data is processed through this system have rights under GDPR, including:

  • Right of access
  • Right to correction
  • Right to deletion (insofar as it does not prevent delivery or hamper allocation)
  • Right to object to processing under legitimate interests
